Add your first contract
Two ways to add a subscription: upload the contract PDF and confirm what was read out of it, or type the details in yourself.
There are two ways to get a subscription into Resubly. Uploading the contract is faster and is the better choice when you have the document to hand. Entering the details manually is better when there is no contract file, for example a card-paid tool that never came with paperwork.
Option 1: upload the contract
- Upload the contract PDF from the intake screen.
- Wait for the terms to be read out of the document. Vendor, cost, currency, dates, term type, and notice period are extracted automatically.
- Review every extracted field against the document. Nothing enters your renewal list until you confirm it.
- Correct anything that was read wrongly, then approve the contract.
Option 2: enter the details manually
General
- Name, required. The vendor or product, for example Slack.
- Website. Used to look up the vendor logo so the contract is easy to spot in a list.
- Subscription owner. The person accountable for whether you keep the tool.
- Finance owner. The person accountable for the money side.
- Department. Used for grouping and filtering.
Billing
- Cost and currency, required. Resubly supports USD, GBP, and EUR.
- Payment frequency, for example monthly or annually.
- Start date, required.
- Term length. This drives how the renewal date is calculated.
- Renewal date. Set this directly on fixed-term contracts.
If your organization has custom fields configured, they appear as an extra section on the same form.
Set the notice period
The create form captures the essentials. The cancellation notice period is set on the contract itself, under Notice and Renewal Settings, as Cancel Notice Period. It is measured in days before the renewal date and defaults to 90.
Adding many at once
Adding subscriptions one at a time is fine for the first few. If you are migrating an existing spreadsheet, import it as a CSV instead.
