Manage a subscription
Edit terms on a live contract, understand the five statuses, and know what happens when you archive rather than delete.
Open any subscription from the subscriptions list to see and change everything Resubly holds about it. Most edits take effect immediately, including on your alert schedule.
What you can change
- Terms. Cost, currency, payment frequency, start date, renewal date, and term length.
- Notice and renewal settings. Cancel notice period, and whether the contract renews automatically.
- People. Subscription owner, finance owner, and department.
- Budget. Budget amount and the price rise you expect, which is what drives escalation flags on your dashboard.
- Any custom fields your organization has defined.
The five statuses
- Active. Live and tracked. Only active contracts generate alerts.
- Renewing. A renewal is in flight. See the renewals pipeline.
- Expired. The term ended and was not renewed. Kept for history.
- Draft. Incomplete, not yet tracked.
- Review. Waiting on someone to confirm the details.
Locked contracts on the Free plan
The Free plan manages 5 subscriptions. Beyond that, Resubly keeps the 5 with the soonest renewal dates active and locks the rest. Locked contracts are stored but hidden, and they are skipped by every alert and automation until you upgrade. Nothing is ever deleted to make room.
Removing a subscription
Keep a contract you no longer pay for rather than deleting it, if you want the spend history. Deleting removes the record and its history for everyone in the organization, so use it for duplicates and mistakes rather than for tools you have cancelled.
