Review extracted contract details

Uploaded contracts land in a review queue. Nothing reaches your renewal list until you have checked the fields and approved it.

When you upload a contract, Resubly reads the document and pulls out the terms, then puts the result in a review queue for you to confirm. Extraction is treated as a draft, never as the truth, because a wrong renewal date is worse than no renewal date.

What happens to an upload

  1. Uploaded. The file is stored and queued.
  2. Processing. The document is read and the terms are pulled out.
  3. Needs review. The extracted values are waiting for you in the review queue.
  4. Attached. You approved it, and it is now a live contract in your renewal list.

An upload that cannot be read is marked as failed, and you can reject anything that turned out to be the wrong document. Neither creates a contract. See contract fields explained for what each value means.

What to check in the review queue

The review form shows every extracted field side by side with the document. Confirm each one:

  • Subscription name and vendor name.
  • Total cost, and payment frequency: monthly, quarterly, annually, or upfront.
  • Term length. Month-to-month, or a fixed term with an end date.
  • Start date and renewal date.
  • Subscription owner, finance owner, and department. These are not in the document, so set them yourself.

Uploads you never get round to

Items left in the queue are marked stale after 24 hours and cleared out after 14 days. They never become contracts on their own, so an ignored upload is simply discarded rather than quietly going live.
